Which REDCap Platform Should I Use for my Project?


There are 4 types of projects that the BCCHR Data Management Team supports: Research, Stand Alone Surveys, Operational Support, and Quality Improvement/Quality Assurance (QIQA). You can use the flowchart below to follow your project type to the Project Request Form that you need to use.

If you know which type of REDCap platform you should use (either Research REDCap or QIQA REDCap), scroll down to the appropriate section.

If you are unsure about what type of project you have, more details are provided below to help you determine if you should use either Research REDCap or QIQA REDCap.



What is Research REDCap?

BCCH Research REDCap platform currently supports all PHSA REB-approved or non-human research projects, as well as projects supporting research administration. Research projects are classified as projects that are collecting patient data and require ethics approval. Typically, research projects are de-identified; however, identifiers may be stored when specifically approved by the REB.

You can apply for a project and build it while your REB approval is pending, however you do need REB approval before your project is moved to production mode. No matter what your REB status, you must put in an REB number.

What is Quality Improvement / Quality Assurance (QIQA)?

Research REDCap supports stand alone surveys (quality improvement or operational support) that are for research, academic, or administrative purposes. Stand alone surveys can consist of multiple surveys in one project, but they are unlinked to identified individuals beyond the information collected in the survey with no follow up surveys. Stand alone surveys do not require REB approval.

QIQA REDCap supports quality improvement and operational projects that may contain identifiable information and do not require REB approval. At this time, we support:

  • All PHSA stand-alone surveys (one project unlinked to identified individuals beyond the information collected in the survey)
    • Before a REDCap project can be requested, stand-alone non-research surveys that are exempt from REB review (e.g. surveys for program evaluation or patient satisfaction purposes) must be reviewed by PHSA's Information Access & Privacy Office.

    • Only C&W QIQA projects (clinical operational support OR surveys linked to identified individuals beyond the information collected in the survey, such as focus groups, follow up surveys, etc):
      • C&W QIQA Projects must be reviewed and approved by the C&W Data Collections and Solutions Steering Committee (DCSSC). Once your project request form is submitted to REDCap, your project will be added to a list of projects to review. Average QIQA project approval turnaround is one-two months.
      • The DCSSC meets on the third Tuesday of the month but begins its review of requests on the first Tuesday of each month. Therefore, please submit your requests no later than the end of the previous month to be considered for review at that month's meeting (e.g. requests submitted in September will be reviewed in October).

    Research REDCap

    Step 1: Request a Project

    To access REDCap, please first fill out the Research Request Form. Upon approval, you will be sent a Service Agreement and given REDCap login details to access and begin building your project. Once complete, proceed to Step 2 below.

    Step 2: User Access

    To Request New REDCap Accounts for your team, please click the 'Request User Account' button in the BCCHR Help Desk under the Applications menu in REDCap. After the account is created, Add Users to your Project in the User Rights section, also under the Applications menu.


    QIQA REDCap

    Step 1: Request a Project

    C&W QIQA REDCap projects collect data for the purposes of clinical decision making, program evaluation, or operational support. New Project Requests should be made by filling out the DCSSC Request Form. Upon approval, you will be sent a Service Agreement and given details to access and begin building your project. Once complete, proceed to Step 2 below.

    Step 2: User Access

    Logging into QIQA REDCap requires PHSA credentials (can be C&W, BCCDC, etc.). The BCCH Research Data Management team does not create accounts for QIQA REDCap. PHSA user accounts must be requested from the PHSA Service Portal.To add a user to a project, search for the user by entering the text before the "@" sign in their email address (i.e., ""@phsa.ca) in the Add new user or Assign new user box.

    Once added, a red box will display the user's information (name, title, department), acting as a confirmation that you added the intended user. If you don't know the user's email address, use the PHSA Employee Directory to search for users and their corresponding credentials.
